User data deletion

1. Purpose of this page

Meta (Facebook) requires apps that use its platform products to tell people how they can request deletion of their data. This page explains how to request deletion of personal data related to Campate and our Meta integrations (for example WhatsApp Business Platform).

Campate is a product of Exciton Technologies LLP. People access Campate with institution-issued accounts (typically email and password) or institution-configured student access methods.

Campate is provided to educational institutions. Institutional records in Campate are controlled by the contracting college or university. For that reason, deletion requests that we process must come from the head of the institution under the mandatory formalities in section 3.

2. What data this covers

Depending on how a college uses Campate, personal data may include:

• staff or admin account details (name, email, phone number, role);
• student, parent, or guardian contact details entered by the institution;
• attendance, academic, learning, and notification records held for the institution;
• message delivery logs for operational SMS, email, WhatsApp, or similar channels; and
• technical and security logs needed to operate the service.

WhatsApp Business Account credentials connected by a college (if any) are institutional business assets, not a personal Facebook profile login to Campate.

3. How to request deletion (mandatory process)

A. Students, parents, guardians, and staff

If you are a student, parent, guardian, faculty member, or other individual whose data was entered by a college or university that uses Campate, that institution is usually the organisation that decides why the data is processed. Please contact your institution first and ask them to update or delete your records in Campate.

We do not process individual deletion requests from students, parents, staff, or third parties that are not submitted by the head of the institution in the form required below.

B. Requests we will process — head of institution only

Deletion requests submitted to Exciton Technologies LLP / Campate are accepted only from the head of the institution (for example Principal, Director, Dean, Vice-Chancellor, or other officially designated head of the college or university that contracts for Campate).

The following are mandatory. Incomplete requests will not be actioned:

• A formal written request on the institution’s official letterhead, issued and signed by the head of the institution (not by a third party on their behalf without clear institutional authority).
• The letter must bear the head of the institution’s signature and official stamp / seal of the institution.
• The letter must also include a valid digital signature of the head of the institution (for example a digitally signed PDF under applicable Indian law / recognised digital signature practice).
• Clear identification of the institution (full legal / registered name, campus or college code if used in Campate, and the Campate admin email used by the institution where known).
• A clear description of the data or accounts to be deleted (for example named staff users, student identifiers, full tenant offboarding, or Meta / WhatsApp Business-related platform records), and the reason for the request.
• Contact details of the head of the institution and a designated administrative contact for follow-up verification.

Email the letterhead request (PDF preferred) to sales@campate.com with the subject line Institutional data deletion request.

We may independently verify the identity and authority of the head of the institution before acting. We will respond within a reasonable period and as required by applicable law (including India’s Digital Personal Data Protection Act, 2023, where it applies).

4. Facebook / Meta “Apps and Websites” removal

If a Meta / Facebook data deletion notice relates to institutional WhatsApp or other Meta platform configuration used through Campate, the request must still follow section 3: it must come from the head of the institution on letterhead with digital signature and sign and stamp. Email the complete package to sales@campate.com and include any Meta app-scoped user ID or reference Meta provided, where available.

5. What we may retain

We may retain limited information where required by law, for dispute resolution, security, fraud prevention, tax or accounting, or legitimate backup and audit constraints, or where the educational institution remains responsible for the record and has not authorised deletion under section 3. Where we refuse or delay deletion for a lawful reason—including an incomplete letterhead package or a request not from the head of the institution—we will explain that in our response where we are permitted to do so.
